Frequently Asked Questions
Is pricing really per employee?
Yes, Starter and Growth are flat per-employee monthly rates ($8 and $12). Scale is custom-priced for larger or multi-location businesses. No per-module fees, no seat tiers, no surprise charges. The whole platform is included on every plan.
What counts as an active employee?
Anyone with an Active or On Leave status in your account. Former employees and deactivated records do not count toward billing.
Can I change plans later?
Yes. You can upgrade or downgrade at any time. Upgrades take effect immediately; downgrades take effect at the start of the next billing cycle.
Is there a free trial?
Yes, every plan includes a 30-day free trial with full access to every feature in that plan. A credit card is required at signup but is not charged until the trial ends. Cancel any time during the trial at no cost.
Do you require a credit card to start the trial?
Yes. We collect a card at signup so your account rolls seamlessly into a paid subscription at the end of the 30-day trial, no re-entering details, no service interruption. Your card is not charged during the trial, and if you cancel before day 30 you are never charged.
Is my credit card information secure?
Yes. Payments are processed by Helcim, a PCI-DSS Level 1 certified Canadian payment processor. Card details are tokenized by HelcimPay.js directly in your browser and never touch Hibiscus HR servers, we only store a secure token used to process monthly charges. All payment traffic is encrypted in transit with TLS 1.3.
What happens if my card expires or is declined?
We send warning emails 30, 14, and 7 days before your card expires so you can update it without interruption. If a monthly charge fails, we retry on day 3, day 4, and day 7 before suspending the account, and send an email at each step. You will always have a clear window and plenty of notice to resolve the issue before anything is disrupted.
Where is my data stored?
All data is stored in Canadian Microsoft Azure data centres. We never transfer your data outside of Canada. Sensitive fields like SINs and banking information are encrypted at the field level on top of database-wide AES-256 encryption.
Do you support Quebec payroll?
Not yet. Quebec coverage is on our roadmap, and we won't ship it until QPP, QPIP, CNESST, RL-1, and a fully bilingual French interface have been independently audited for legal and linguistic compliance. We'd rather be right than fast. Today, Hibiscus HR supports the 9 provinces and 3 territories outside Quebec, payroll uses CPP, CPP2, EI, federal and provincial tax tables, with ROE generation through Service Canada. Until Quebec ships, pair us with a Quebec-native payroll system. Email info@hibiscushr.ca with subject "Quebec launch updates" to be notified when it lands.
Can I get a custom quote for a large team?
Absolutely. Contact us for enterprise pricing if you have more than 500 employees, need custom integrations, or have specific compliance requirements (regulated industries, government).
How do I cancel?
You can cancel at any time from Settings → Billing in the platform. Cancellation takes effect at the end of the current billing cycle. Your data is retained for 90 days after cancellation in case you change your mind, then permanently deleted in accordance with our PIPEDA-aligned data retention policy.
